Since the launch, Landcom has conducted three live tenders, all of which have functioned seamlessly through the new tender portal

Customer experience and digital marketing agency UnDigital has partnered with Landcom to improve business processes during tender collection, with a focus on improved user experience and operational efficiencies.

Conducting a tender process can often be a complex task for all involved; for the vendor to understand the requirements of the tender process, and for the staff collecting and evaluating the submissions all under strict probity rules at the other end.

When developing the strategy for the tender portal project, Landcom engaged with its key stakeholders to understand their experiences with online tendering services so as to have a clear understanding of the user experience expected and the pain points to remove.

Initially, Landcom investigated off-the-shelf solutions, while technically very strong, were not feasible from an ongoing cost perspective. When it came to UnDigital, Landcom found it was able to have the entire portal custom built with the ability to repurpose as necessary. This meant that Landcom could have the portal exactly as it wanted within a reasonable budget, while creating business and operational efficiencies.

UnDigital was able to design and develop a tender portal that addressed every pain point and turned it into a fully functional platform. It added the ability to consolidate and view all documents, stamp downloaded documents with a date and time, ability for participants to log questions, easy lodgement of responses, secure submission box and custom or broadcast email communications with participants. Once the tender has closed all relevant documentation for the evaluation committee can be downloaded from the portal with the click of a button.

“The tender portal has streamlined our processes and made the tender process so much more efficient. This new platform is capable of managing multiple tenders, across multiple internal assessment teams with a high degree of automation”, said Andrew Mossie, director of corporate marketing and communications at Landcom. “The new customer-centric tender portal has been met with overwhelmingly positive feedback by our customers and staff who appreciate the simplicity that has been achieved."

Since the launch, Landcom has conducted three live tenders, all of which have functioned seamlessly through the new tender portal.

Andrew Cornale, co-founder and digital experience director, UnDigital, added: “Creating this tender portal has allowed us to alleviate multiple pain points for Landcom. We’ve been working with the team for a long time and this project slotted in perfectly with the other digital solutions we’ve provided in the past. We look forward to seeing how the tender portal continues to create efficiencies while cutting costs in future.”
