Project Coordinator / Operations Assistant / Junior PM - URGENT START

We have a core operation based out of the UK and then we have satellite operations within the US and Europe and we are looking for agile, independent and creative talent that are happy to work on their own as much as within an agency environment.

Job Overview

As Project Coordinator / Operations Assistant / Junior PM you will have a dual role, supporting the Project Manager with administrative support for physical and digital project delivery, coupled with supporting the Chief Operations Officer with ad hoc operational tasks. This role is the heart of any project, really driving project efficiency and acting as the go to person for administrative support across the business. 

Responsibilities and Duties

  • Building out projects within our project management software -
  • Creating templates for project teams 
  • Diary management for the project teams, to include meeting requests, agendas, meeting minutes and defining action points 
  • Venue research 
  • Third-party supplier research, hosts, speakers, entertainment, 
  • Competitor Research and Insight Comparison
  • Raising purchase orders through our project finance software 
  • Providing timely project reports for the Project Manager, through our finance 
  • Document control, formatting and version control 
  • Ensuring efficient storage of documents across various internal and external platforms (Teams/Google etc) 
  • On-site management and delivery (virtually or physically)
  • Chasing teams for time reconciliations/completion of timesheets 
  • Post project analysis and reporting 
  • Ad hoc office/operations support such as setting up new starters on systems and software 
  • Booking office space/meeting rooms 


  • 3+ years experience across the above duties
  • Project management including managing teams 
  • Physical and digital event management and delivery 
  • Experience with digital content production and broadcast 
  • Both B2B and B2C client work
  • Experience of project management software 
  • Excellent problem solving, attention to detail and presentation skills
